How Licensing Works

Licenses enable your team to perform assessments. Purchase, assign, and manage license lifecycle.

What are licenses?

Licenses are the mechanism that controls assessment access in 3MotionAI. Each license is a time-bound entitlement that can be assigned to a user. When a user has an active, assigned license, they can perform assessments. Licenses belong to an organization's pool and can be reassigned as team members change.

How to get started

Getting your team licensed takes three steps:

  • Purchase licenses for your organization by specifying the count, type, and validity period.

  • Assign licenses to individual team members from the license table. Each user needs one license.

  • Monitor utilization on the KPI dashboard to ensure you have enough licenses for your team.

Key concepts

Important licensing concepts:

  • License lifecycle: Available -> Assigned -> (Expiring at 30 days before end) -> Expired. Expired licenses can be renewed.

  • License pool: Unassigned licenses stay in the pool and can be assigned to any eligible user in the organization.

  • Assessment quotas: Separate from licenses, quotas limit the total number of assessments per period. Configure quotas in the Quota section.

  • Revoking: When you revoke a license from a user, it returns to the available pool and can be reassigned.

Common questions

Answers to frequently asked questions:

  • Can I transfer a license between users? Yes, revoke it from one user and assign it to another.

  • What happens when a license expires? The user loses assessment access. You can renew the license to restore access.

  • Do licenses auto-renew? This depends on your billing configuration. Check the Billing page for renewal settings.

  • Can sub-organizations share the parent's license pool? Pool sharing can be enabled in the quota configuration.
